We are seeking a highly organized, proactive and independent Wholesale Customer Service Executive to join our team and contribute to our growing success in international markets.
The Wholesale Customer Service Executive will play a key role in managing and expanding paloma wool's global wholesale operations. This position requires strong organizational skills, analytical thinking, and excellent client relationship management. The Executive will be reporting directly to the Wholesale Director which is based in Paris. Therefore, we need someone who can work independently, take initiative, and manage responsibilities with autonomy, while knowing when to ask for support. The position is full-time and based in our Barcelona office.
1. Order Management & Client Support:
Manage allocation tracking and product availability across approximately 80 global B2B clients, including an APAC agent and a Japan distributor, coordinating with sales teams for validation and adjustments.
Serve as the primary point of contact for wholesale partners on all customer service matters: order statuses, delays, disputes, documentation needs (EAN codes, RRPs, delivery notes, line sheets, certificates), and sample coordination for international showrooms.
Receive, verify, and confirm wholesale orders from showrooms, and reorders - send Order Confirmations post-showroom with deposit follow-up.
2. Logistics & Operational Processes:
Oversee the full journey of each collection from warehouse arrival through distribution: accurate reception, stock control, and timely shipment for all domestic and international orders.
Coordinate all shipments end-to-end - prepare and validate DHL labels, shipping documents, and customs/duties requirements - acting as the interface between clients, the warehouse, carriers, and logistics teams.
Track deliveries, manage transport or documentation incidents, and resolve product defects or claims promptly by coordinating across warehouse, production, and logistics teams.
Maintain organized and detailed order, shipment, and communication records to ensure full internal visibility throughout each season.
3. Finance Support:
Supervise invoicing, payment tracking, credit notes, returns - ensuring clients respect payment terms and minimizing credit risk in close collaboration with the finance team.
Maintain and update tracking dashboards, and actively contribute to the continuous improvement of customer service processes.
Experience: Minimum 2 years in a wholesale or sales operations role, preferably in fashion or a similar industry.

Bachelor in Business Administration, Economics, Engineering or equivalent
Languages: Fluency in English and Spanish is required; additional languages (Italian or French) are a plus.
